Mileage Reports
Explore recorded odometer readings and the evidence around a historical date.
Which readings surround this date?
Find a supported mileage range from imported evidence. This is not an actual completed mileage entry or a guarantee that VMS will accept a value.
Recorded evidence
Driving fuel uses one vehicle/engine-adjusted moving-fuel comparison for everyone. Tour-adjusted remains available separately.
Full Time opens first. Part-Time, Inactive, and All change which driver names appear in rankings, scorecards, run standings, and reviews.
The complete historical population still builds vehicle and engine baselines. Changing a driver's group changes where the name appears; it does not change mileage, component values, or past records.
Coach Manager supplies the driver, assigned bus and scheduled driving window. Accepted vehicle odometer changes are estimated across those scheduled windows; the person submitting a VMS reading may only have prechecked the bus and never determines driving credit. Driver Share is the driver's supported scheduled mileage divided by all supported driver mileage for that bus-month. Conflicting assignments stay unattributed.
If a blank date contains a qualifying unscheduled activity whose completed mileage fits the odometer interval, that calendar share is labeled maintenance-supported and is not given to a driver. Mileage from an interval with no driver assignment or qualifying activity is labeled unexplained. Vehicles with no driver-assignment history stay outside Driver Performance mileage totals while remaining available elsewhere in the fleet app.
Driver Share does not change the bus's MPG Index. Each bus receives one monthly MPG Index by comparing its Actual MPG from PowerSpec with its Expected MPG. When both sources are available, Expected MPG is split evenly: 50% from that bus's usable history and 50% from similar buses with the same engine. An index of 100 means Actual MPG matched Expected MPG, 105 means it was 5% above expected, and 95 means it was 5% below expected.
Driver Share determines how many supported bus-month miles are allocated to a driver. Corrected-odometer interval uncertainty, implausible readings and baseline quality still limit the evidence; unusable observations are not made valid by removing penalties. Closeout labels and audit percentages do not reduce assessment points, evidence weight or qualification. Original submitted values, corrections and supporting records remain available for review.
Current Confidence is a distance-data audit, not a behavior grade. It summarizes complete matched pairs and handoffs in Recent and Prior periods. A same-day matched pair has an audit value of 100%; an unsupported matched handoff has 90%. These values describe the records, do not establish fault, and do not enter the assessment or ranking.
The driver-submission time controls Current Confidence—not the later date when VMS may post a correction. Corrected-record gaps still describe the reliability of the mileage allocation used for MPG weighting, but they are not labeled as driver lateness. Under-one-mile, mechanic-influenced, ambiguous, fully unmatched, non-attributed, and admin-suspended cases are left out of Current Confidence.
Ranking comparison: Driving fuel uses 100% Drive MPG index for every driver, without claiming route adjustment. Tour-adjusted preserves the saved policy-2 mix of comparable-tour Run Driving MPG and Drive MPG (default 70% and 30%). That separate comparison requires every enabled component; unavailable tour evidence is never filled with another metric. Changing the selector does not rewrite reports or saved scoring settings. Overall MPG, idle and closeouts have zero weight in both comparisons.
Average speed and engine load remain context only because route, traffic, grade, and passenger load can change them. They are displayed beside the scored operating inputs but do not add or remove points.
The employment buttons choose which group you are comparing. Full Time opens first, while Part-Time, Inactive, and All let you review the same calculations for other groups. A driver's category changes where the driver is displayed; it does not change the MPG math or establish company policy.
Driving assessments require overlapping Coach Manager schedule, vehicle-distance and completed PowerSpec coverage. Later readings remain saved but cannot establish driving assignments until the matching schedule is uploaded. A schedule describes planned work, not proof of a completed trip.
The results are estimates built from assignments, odometer readings, and PowerSpec reports. They are not GPS records and do not prove that a driver caused an MPG change. Traffic, route conditions, passenger load, weather, vehicle problems, and missing mileage can also affect MPG.
- Driver Miles is supported vehicle odometer mileage attributed only through Coach Manager driving assignments. It is an estimate, not an exact same-driver session.
- Scheduled Driving Estimate allocates supported odometer change by eligible scheduled time. Ambiguous driver or bus assignments receive no individual credit.
- Fleet Current Confidence summarizes matched closeout evidence across the recent and prior audit periods. It is a data-quality measure, not a behavior grade, and has no effect on assessment points or qualification.
- Fuel-Matched Miles are driver miles that overlap a usable monthly PowerSpec fuel report.
- Fuel Coverage is the percentage of driver miles that could be connected to usable fuel data.
- Maintenance-Supported Miles sit on a blank assignment date with a qualifying unscheduled activity and a completed mileage that fits the odometer interval. They are not assigned to a driver.
- Unexplained Miles remain after the exact-session, service-date, defect, and mechanic checks. Outside Driver Coverage is mileage from vehicles with no driver assignment history; neither category changes a driver's score.
- Flagged/Capped Miles were unusually large and limited so one bad reading could not dominate the results.
- Fuel Samples Excluded did not meet the mileage, MPG, baseline, or confidence checks needed for fair scoring.
- Drivers in View counts the employment group selected at the top. It does not change the underlying mileage or fuel records.
- Coverage limits: no driving credit is inferred beyond the available Coach Manager schedule or the newest completed PowerSpec month. Original VMS reports remain saved for vehicle mileage and inspection audits.
Driving mileage is a Coach Manager scheduled-time estimate supported by vehicle odometers. Maintenance-supported, ambiguous and outside-coverage miles remain separate and are never quietly added to a driver's total.
Each year starts with its top three available assessments for the selected comparison. Open a year for monthly results. Both comparisons require supported moving-fuel evidence, plus either 250 Score Weight miles or 125 Score Weight miles across at least 8 assigned days. Tour-adjusted additionally requires its enabled tour component. Missing assessments are not zero, neutral, or ranked. Open a driver for supporting monthly vehicle allocations.
The yearly top three combines each driver's monthly component scores using Score Weight, so higher-confidence mileage has more influence. A yearly ranking needs at least 500 Score Weight miles across at least two months.
Both ranking panels use the same selected comparison and eligibility rules for every driver. Driving fuel requires a usable vehicle/engine-adjusted Drive MPG index; Tour-adjusted also requires its enabled comparable-tour evidence. Qualified drivers are ordered by that comparison, not overall MPG, idle, closeout percentages or total miles.
The live formula shows the selected comparison. Missing required evidence means unavailable, with no per-person redistribution. Grand Circle Island and Grand Circle Island Travel Shack remain distinct tour categories. Driving fuel does not claim that different routes have identical operating conditions.
That matters because a bus that normally gets 4 MPG should not be judged against a bus that normally gets 8 MPG. Each driver is measured by whether the buses connected to their supported mileage performed better or worse than those buses were expected to perform.
The standings use the employment group selected at the top of the page. Full Time is the starting view, but Part-Time, Inactive, and All each produce their own comparison. These categories organize the display; they do not add or remove points and do not establish company policy.
A month needs overlapping PowerSpec, Coach Manager schedule and vehicle-distance evidence before it can enter the standings. Later VMS readings remain stored but cannot replace missing scheduled assignments.
Click a driver for a month-only assessment audit. Bus details separate moving-fuel evidence from overall MPG, idle and closeout context. Required cooling, waiting, traffic, staging and PTO operation receive the benefit of the doubt. Monthly vehicle allocations do not prove personal fuel use or individual causation.
These are the highest available assessments for the selected comparison and period. More miles do not automatically improve a result. Driving fuel uses supported moving-fuel evidence; Tour-adjusted additionally requires its configured tour evidence. These are review tools, not proof of an individual's performance.
These are the highest scores for the comparison and period selected at the top of the page. Driving fuel always uses 100% Drive MPG; the separate Tour-adjusted mode uses the saved admin-managed mix.
Run Driving MPG uses comparable tour categories and moving-fuel baselines; Drive MPG uses supported vehicle/engine comparisons. Every component enabled by the selected comparison is required for everyone. Idle and closeout data stay visible without assessment points, and incomplete evidence is never replaced with another component.
Average speed and engine load are displayed as route and workload context but do not affect points. Click any driver to open every component and the mileage share behind it.
Only drivers in the employment group selected at the top are compared here. Changing groups recalculates the displayed order without changing anyone's score.
This is the lower end of the same assessment used by the leaders, not a different overall-MPG ranking. Open a name for comparable-tour and moving-fuel evidence. The estimated allocation supports review, not a conclusion that a driver caused the difference.
These available assessments are lower within the selected group; they may still meet their moving-fuel baselines. A ranking does not establish fault or identify avoidable idle.
Overall MPG and its bus-month details remain separate context, not the reason for assessment rank. Distance-recording findings and corrections remain reviewable without behavioral penalties; validation still prevents unusable measurements from entering the evidence.
For context, review mileage confidence, buses used, monthly history, and excluded samples. Traffic, route conditions, passengers, weather, maintenance problems, and late trip-sheet mileage can all influence the result.
Click a driver's name to expand their complete vehicle, month, and mileage-share details directly beneath the leaderboard row.
- Exact: a Daily Orders record directly matches the dated Coach Manager assignment by date, route, schedule, and available bus/driver evidence. Its exact service name is retained in the evidence while the card stays grouped under a comparable run type.
- Learned: exact matches teach reusable route-and-schedule profiles. Older Coach Manager runs may use a profile only when their route, timing checkpoints, and duration agree and one result clearly wins. A familiar bus or driver can support the result, but cannot create it.
- Unassigned: unique or conflicting work remains Other / Unassigned instead of being guessed. An admin can review it without altering the original report.
- Passenger and non-revenue work stay separate: pusher, standby, zone, training, test-drive, breaker, and other support assignments remain visible, but are not ranked as passenger-run MPG. A bus assignment alone does not prove that the bus moved.
- VMS supplies vehicle distance: accepted odometer change supports scheduled-time mileage estimates. Reading submitter names never assign a driver or bus.
- Bus changes need schedule corrections: only the explicit Coach Manager bus is used. A precheck on another bus cannot substitute it; missing or conflicting assignments remain unverified.
- PowerSpec supplies monthly fuel data: a category's fuel-linked MPG combines the monthly MPG of the buses that performed it, weighted by the supported category mileage connected to each bus-month.
- Engine filters keep comparisons useful: numbered vehicle ranks are calculated within the same engine platform, not across unlike engines.
- Comparable-tour moving fuel: each usable bus/category/month compares Drive MPG with its available prior vehicle and same-category engine-platform baselines. Future months, self-comparison, support work, unassigned work and unverified driver allocations are excluded. The raw index and its evidence support remain visible; score influence grows with qualifying runs and independent fuel periods.
- QC-assisted pre-checks: a uniquely matched QC Yard Pusher opening can be paired with the scheduled passenger driver's closeout. The passenger miles go to the passenger driver, and the QC handoff does not create missed-closeout deductions on either supported boundary.
Open a card for its comparable-tour moving-fuel standings, baseline, engine context, buses, schedule and classification evidence. The raw Run Driving MPG Index remains visible; its reliability-adjusted Score Index supplies the enabled Run Driving MPG component. This uses monthly PowerSpec measurements allocated to supported work, not measured trip fuel.
- PowerSpec supplies the monthly totals: engine time and Total Idle for each bus. Total Idle includes regular Idle plus PTO, which is treated as fast idle. When PowerSpec provides a PTO component, it remains visible as part of that total.
- Coach Manager supplies the time windows: who was scheduled on that bus, when the run began and ended, and which run category it belongs to.
- Vehicle odometers supply mileage support: scheduled-time estimates never identify the driver from a VMS precheck or reading name.
- Conflicting assignments are withheld: overlapping driver or bus assignments are not used to guess who created idle time. Duplicate same-driver windows count once; overnight and month boundaries remain explicit.
- Maintenance is reserved separately: exact-time qualifying unscheduled activity that overlaps a run is removed from the driver's available time. This gives the driver the benefit of the doubt; it does not claim the engine ran for the entire repair.
- The totals must balance: driver-estimated + maintenance-reserved + unattributed hours must equal PowerSpec for both engine time and Total Idle. Anything the records cannot support stays unattributed instead of being guessed.
Estimate Support is not Driver Confidence: Estimate Support describes the quality of the schedule and mileage evidence behind this idle allocation. Driver Confidence continues to describe distance-reading closeouts.
Important: PowerSpec does not name the person who created each Total Idle hour, including PTO/fast-idle time. This is an evidence-based monthly allocation, not GPS or per-driver telematics, and it does not change Driver Score, MPG Index, Current Confidence, or rankings.
Each row separates assignments, data quality, moving-fuel assessment and overall-MPG context. An available assessment of 100 meets its combined moving-fuel baselines. A dash means unavailable, not zero or neutral. Idle and closeout audits do not award or deduct points.
- Assigned Days is the number of dates the VMS assignment report connects the driver to a bus.
- Driver Miles is the driver's total supported mileage. The tool uses trusted same-day start and end pairs first, then estimates only the remaining odometer change across dates with a documented assignment.
- Current Confidence is a distance-data audit, not a behavior grade. It summarizes matched closeout evidence across Recent and Prior periods. Its percentages and review labels do not affect assessment points or qualification. Original records and corrections remain available.
- Closeout Compliance appears inside the expanded driver record. It checks narrow, reviewable handoffs: one reading connected to one driver, followed by a reading connected to a different driver. A matching unscheduled failure, warranty repair, or other operational activity can support an exception. Scheduled service and routine morning cleaning do not. Ambiguous cases remain visible as context but are excluded from the percentage.
- Fuel-Matched Miles is the portion of supported driver mileage that overlaps a usable monthly PowerSpec report for the same bus.
- Vehicle MPG is the combined Actual MPG from the PowerSpec bus-month records connected to the driver's fuel-matched mileage.
- Vehicle/Engine Baseline is the combined Expected MPG for those same bus-months, based on each bus's usable history and buses with the same engine platform.
- Driver Assessment combines comparable-tour Run Driving MPG and Drive MPG. Every enabled component must be complete; there is no overall-MPG fallback or missing-component redistribution. The live formula shows the current moving-fuel percentages. Rankings require supported comparable work as well as the mileage threshold.
- MPG Index compares combined Actual MPG with combined Expected MPG. An index of 100 means expected MPG was met, 105 means 5% above expected, and 95 means 5% below expected.
- Idle/PTO is monthly vehicle context allocated by supported mileage share, not measured avoidable idle by a driver. Its trend compares recent and prior fuel months without points, penalties or a behavior rating. Required cooling, waiting, traffic, staging and PTO receive the benefit of the doubt.
- Trip Share is the driver's weighted portion of the trip miles on their connected bus-months. Its trend shows whether that portion increased or decreased; the share changes how strongly a bus-month counts but does not award points by itself.
- Adjusted Fuel / 1K is the estimated difference in weighted comparison gallons for every 1,000 score-weighted miles. Positive means fewer gallons than expected; negative means more than expected. Sample low means there is not enough supported mileage to display it reliably.
- Primary Bus / Mile Share identifies the bus with the largest portion of that driver's supported mileage and shows its percentage of the driver's total driver miles.
Click a driver's row to review the bus-by-bus and month-by-month records used in the calculation. The detail view shows Drive MPG, Idle/PTO, trip-mile share, and their recent changes. Open Confidence Reductions for the exact bus, odometer-reading interval, affected dates, mileage, and reason for every reduction.
Employment category is an admin-managed label used to separate Full Time, Part-Time, and Inactive comparisons. It does not add or subtract points from the MPG Index.
A finding appears when a driver-entered distance differs from the corrected/current VMS distance, resembles another bus, or may have been corrected on a later date. Defect mileage, NIL post-checks, unscheduled activity, and probable bus swaps are shown beside the original values. Evidence changes the review status; it does not rewrite the source data.
Use the Full Time, Part-Time, Inactive, or All buttons at the top of Driver Performance to choose which drivers appear here. The admin export has its own matching employment-group selector and includes only the selected group.
Open a driver, then open a dated bus entry for the exact submitted value, corrected value, possible alternate buses, resolution reason, supporting report records, and review status. Confirmed and evidence-supported entries remain visible but are separated from unexplained entries. A correction finding does not directly lower MPG Index.
How evidence changes a status: a NIL correction becomes Confirmed only when the corrected vehicle-distance report independently contains that corrected value. A defect submission becomes Supported when its defect record and surrounding odometer sequence validate it. A detailed unscheduled activity becomes Supported when its exact timeline overlaps the handoff window and its completed mileage is within 25 miles of the submitted or corrected value. Scheduled service, routine morning cleaning, invalid timelines, and vague date-only activity cannot automatically clear an alert.
Admin review: an authorized admin sees a note box and review buttons inside every amber alert. Mark Reviewed / Exclude moves an audit-only alert out of the active count without changing Driver Score. If the alert is directly tied to Current Confidence or Closeout Compliance, the control clearly says it is a linked calculation review and uses the existing suspend/reinstate behavior.
Defect mileage validation: the report proves what the driver submitted, but the value is used to fill an odometer gap only when it falls between reliable corrected readings and passes the daily-mileage check. Needs more odometer data means one side of that check is missing. An out-of-range value is marked Needs review. Neither status automatically lowers driver confidence.
How the surrounding range works: the previous and next corrected readings form the allowed odometer window. For example, if VMS shows 10,195.9 miles before the submission and 10,196.0 afterward, a submitted value of 9,763.0 is below both readings. It cannot be inserted into that position without making the odometer move backward, so it is shown for review instead of being accepted or blamed automatically.
What the colors mean: amber needs human review, green has supporting evidence or is confirmed, gray needs more source data, purple was excluded by an admin, and red remains unexplained. Color describes the evidence status—not the driver.
Evidence rules: Scheduled service is excluded from excuse matching. Warranty is evaluated like a failure but remains labeled Warranty. Cleaning completed by 9:30 AM is routine wash activity and does not excuse a closeout. Later cleaning can support a possible bus swap only when the activity time and the driver's move to another bus line up.
The review keeps the driver's original entry, VMS's corrected timeline, and any defect or mechanic evidence separate so you can see why the status was chosen.
